Can we actually delete/remove documents?

Hello,
I’m trying to delete documents so they are not using up server space, but it seems as though they can be marked as deleted, but they don’t actually come off of the server. I can still find them in the document search and they still download when I click on the link.
Is there a way to actually remove documents?

@cetecerp31 or anyone. I’ve never received an answer to this. I have documents that I’d like to remove so we are not taking up as much space and paying an extra monthly fee for something we don’t need, but I can’t see how to actually remove files.

@J_Ochs you can delete the file from the server. Apparently if you click the X from the object document page it will simply inactivate the file and not remove it… if you want to remove the file permanently from the server you can do one of two things.

  1. In the ID column click the number there and it will take you to the document view page. The status will be listed as a active and there will be a link next to the status to Delete the document.. this will remove the file.
  2. In the Upload # column will be the number of document revisions.. click on that and the list of revisions will open below that line. Click the X next to individual document revisions and that will delete the file associated with that revision.

Note: For inactive documents you will need to go to the document view page and change the workflow stage in order to reactivate them.. and then delete them from the server.

The 2 largest documents I have are ID # 10342 and 9867. I tried deleting them a while ago, but they still show as being on my server. They are just marked “deleted” and I have no way I can find to actually activate or deactivate or delete them following the steps you provide.

@J_Ochs You can use the document list to see all documents in your system, when using the new version of the document list you can filter your documents by file size on the server.

Go to Admin > Docs > Document List
Make sure you’re using the new version

Search for documents where the from/minimum file size is 10 MB and status of Deleted
Sort your results by File Size descending so the largest files are at the top
Click on the ID number to view the details of the inactive document
On the top right where it says “Approved”.. click the down arrow and move to “Send Back to Review”
The document should now be active and the option to Delete next to the status will be available.

@J_Ochs your subscription page will have the value as recorded the previous evening. You can access that by clicking the three bar / hamburger menu on top right.. subscription page should be the first option.

No way to do a mass delete? Has to be done one at a time?

@J_Ochs currently no, there’s not a way to do a batch delete. We may add that as an option to the document list in the future though.

okay, it would be nice if I could just clear out files with certain names that are over a given age.
