We’ve encountered an issue today related to the app-specific email password functionality, and would like to suggest a possible improvement that could help mitigate future confusion.
Several of our users found that their app-specific email passwords stopped working unexpectedly. This went unnoticed until one user realized the email they had sent did not appear in their personal “Sent” folder, which led us to discover that the system had defaulted to sending from the main/default email account instead of their own.
Unfortunately, this makes it difficult to track which user sent the message and causes potential communication issues. Currently, there’s no immediate error or alert to indicate that the email was sent from the default user due to an invalid or expired app-specific password.
Feature Request / Suggested Improvement:
Could the system be updated to throw an error or display a warning message if an email fails to send from the intended user’s address (e.g., due to an expired or incorrect app password), and instead defaults to the system account? Ideally, this would alert the user in real time that their email was not sent as expected, prompting them to update their credentials.
This would help us keep users up to date and avoid confusion or accountability issues when emails are sent under the wrong address.
